Pediatric Front Office Team Member

  • Welcomes and greets all patients and visitors, in person or over the phone.
  • Answers the phone while maintaining a polite and consistent phone manner using proper telephone etiquette.
  • Respond to patient and visitor inquiries in a courteous manner.
  • Learn our EMR Athena for their duties.
  • Register new patients and update existing patient demographics and financial information. Schedule appointments according to office guidelines.
  • Confirm patient appointment one day prior to appointment. Works ticklers for reminder calls.
  • Verify insurance eligibility.
  • Take messages for the doctors and medical assistants by creating a patient case.
  • Check in arriving patients and collect copays and balances at time of service.
  • Collects and posts phone payments.
  • Reconcile all monies collected at the end of the day.
  • Responsible for keeping the reception area clean and organized.
  • Keep office supplies adequately stocked and monitor office equipment.
  • Pull patient paper charts as needed. File back charts daily.
  • Respond to medical record requests in a timely manner.
  • Scan records into the EMR system, then move them to the appropriate chart. Scan historical charts into the EMR system as time allows.
  • Maintain operations by following policies and procedures.
  • Follows office HIPPA policies.
  • Works the Oasis Staff Clinical and Athena Clinical in-box.
  • Perform any duties asked by Office Manager and/or Doctors.

Pediatric Medical Assistant (MA)

Graduate of an accredited Medical Assistant program. Previous pediatric clinical experience preferred. CPR certified. Attention to detail and Professionalism.

This is a full-time position and hours are roughly M-F 8:00am – 4:30pm.

Principle Duties and Responsibilities:

  • Prepare patients for examinations, which includes but not limited to: collection of vitals (height, weight, temperature, circumference, blood pressure, oxygen level, heart rate, etc) while following office protocol
  • Administer immunizations and medications; understand the immunization schedule
  • Learn our EMR Athena and become familiar with scheduling appointments
  • Assist providers with procedures such as Well checks/Circumcisions/sutures
  • Referrals and orders
  • Perform simple triage with supervision of provider and give information EXACTLY as the provider instructed
  • Assist provider with phone calls to pharmacies/insurance/specialists
  • Be able to perform simple office procedures such as setting up an SVN treatment, ear lavage, or bladder catheterizations.
  • Assist in collection of specimens and prepare for lab pick up
  • Maintain ALL exam room cleanliness and supplies; keep eye on inventory and notify the person in charge of ordering if items are running low
  • Sterilize and clean instruments and maintain back-office equipment
  • Maintain inventory of medical supplies, medications, immunizations, and handouts
  • Receive and organize the handling of medication samples
  • Help maintain accurate medical records, such as searching for vaccines records through ASIIS and getting patient notes through PCH/Banner/HIE
  • Become familiar with the VFC program and how to receive orders/search ASIIS and keep track of vaccines
  • Do data logger checks for refrigerator/freezers daily
  • Keep sample closet/cabinets updated and making sure items do not expire
  • Follows office HIPAA policies.
  • Perform any duties asked by Office Manager and/or Providers

Triage Nurse

Qualifications:

Previous Pediatric experience.

RN or LPN preferred

Responsibilites:

  • Returns calls from patients after hours remotely
  • Answers questions and gives medical advice per office protocols and the current edition of Baron Schmidt’s pediatric triage guidelines.
  • Documents the interaction in our EMR Athena.

 

Pediatric Office Manager

The administrative/billing coordinator for our 2 provider private practice team.

Applicant must have good people skills and experience with medical billing.  Managerial experience is a plus. Our office manager is “working manager” and should expect to occasionally cover the front desk. 

This is a full-time position and hours are roughly M-F 7:30am – 5pm.

Principle Duties and Responsibilities:

  • Supervises the daily operation of the office and provides assistance to office staff members in order to ensure the office runs orderly for the physicians and patients.
  • Fosters teamwork between staff and physicians.
  • Keeps office level accounting, working with CPA.  Runs financial reports and analysis regularly as requested.
  • Re-allocates staff resources as appropriate based on daily physician schedules, time-off, and capacity. 
  • Responsible for managing personnel related activities including, scheduling hours, accurate timekeeping, attendance, time off requests, leave of absences, employee relations issues, performance evaluations and overtime management.
  • Manages office level billing procedures, patient registration, diagnosis coding, applicable collection of co-payment and outstanding balances from patients while ensuring full compliance with established cash control policies and procedures.  Submits claims to our EMR billing and oversees claim denials.
  • Functions as the liaison between physicians and venders for the office(overseeing office purchases and payment).  Works with ancillary services and/or renters which reside in the office space.
  • Assists in the recruiting, hiring and training and development of staff.
  • Ensure seamless customer service to our patients and help services work efficiently.
  • Maintains the physical property and equipment of the office including arranging for routine and emergency maintenance with landlord and outside vendors.
  • Ensures office is in compliance with regulatory requirements including: safety, OSHA, HIPAA, employment and labor laws, state and federal guidelines.
  • Actively participates in personal development to increase knowledge.
  • Assist physicians with marketing, visibility of the office.
